An invitation with a reason behind it

To: Maya Chen · everyday travel creator

Subject: Maya × Fieldwork — a lighter everyday carry

Hi Maya,

Your recent carry-on packing post made a great case for fewer, more useful essentials. We’re Fieldwork, a small travel accessories brand, and would love to explore a paid collaboration around our Everyday Kit.

We’re considering one short packing video. Could you share your availability and rates? We can send a brief before either side commits.

Thanks, Alex · Fieldwork

The thinking behind it

Uses the supplied post as the opening. Asks for rates instead of inventing a budget or promising a fee.

This example explains the task. It is not a live run or a customer result.

Bring the context.
Give the team a good start.

Start with what you already have. The team can ask for missing details before preparing the next step.

Creator shortlist
Profile links, relevant posts, and any existing conversations.
Campaign brief
Your product, audience, offer, deliverables, and timeline.
Brand voice
An email you like, phrases to avoid, and the sender’s name.

Make this your team.

Copy the starting task and adapt it to your campaign. With the Marketing team in your workspace, share it with Campaign Lead alongside your source materials.

Help me prepare influencer outreach for this campaign.

I will share the campaign brief, creator profile links, relevant posts, and existing conversations. Ask for missing inputs before drafting.

Have Creator Sourcing check the evidence for fit, Creator Outreach draft a personalized email for each creator, and Campaign Lead collect the decisions I need to make. Include the source behind each personalized opening and a proposed follow-up.

Return unsent drafts. Do not invent contact details, agree rates, or send new offers without my approval.

Reference files, when you need them

Use these editable templates as inputs or work with them on their own. Free to copy and download. Worked examples use fictional records.

Subject: Would you like to try [PRODUCT] from [BRAND]?

Hi [CREATOR NAME],

I’m [YOUR NAME] from [BRAND]. [SPECIFIC, VERIFIED REASON THE PRODUCT MAY FIT THEIR CONTENT OR INTERESTS].

We’d like to offer you [PRODUCT / PRODUCT CHOICE] to try. This is a gift invitation: accepting the product does not require a post, a positive review, or any other content. We are not requesting content usage rights through this message.

If you’re interested, please reply and we’ll share [PRODUCT DETAILS / AVAILABLE OPTIONS] and arrange delivery through [YOUR ACTUAL ADDRESS-COLLECTION PROCESS]. Please don’t send your address until we confirm the details.

If you only consider paid partnerships, you’re welcome to tell us. Any deliverables, fees, or usage terms would need a separate agreement.

No problem if it isn’t a fit.

Thanks,

Subject: Re: [ORIGINAL SUBJECT]

Hi [CREATOR NAME],

Following up on my note about [CAMPAIGN OR PRODUCT]. The short version is [ONE-SENTENCE OFFER], for [PROPOSED TIME WINDOW].

[OPTIONAL: ONE USEFUL NEW DETAIL THAT IS TRUE, SUCH AS A CONFIRMED BRIEF OR A FLEXIBLE DATE. DELETE THIS LINE IF THERE IS NONE.]

Would you like me to send the brief? If it isn’t relevant, just let me know and I’ll close this out.

Thanks,

Before sending: check the conversation for a reply, refusal, opt-out, or a colleague’s contact. Do not send if a stop condition applies. Choose timing based on the actual campaign and prior conversation, not a universal cadence.

Subject: Re: [CAMPAIGN / ORIGINAL SUBJECT]

Hi [CREATOR NAME],

Thanks for sharing your rates. To make sure we’re comparing the same scope, my understanding is:

- Deliverables: [FORMAT, QUANTITY, AND PLATFORM]
- Timing: [DRAFT / REVIEW / PUBLISH WINDOWS]
- Fee: [AMOUNT AND CURRENCY]
- Included revisions: [NUMBER AND TYPE / STILL TO BE CONFIRMED]
- Usage: [CHANNELS, DURATION, AND WHETHER PAID PROMOTION IS INCLUDED / STILL TO BE CONFIRMED]
- Exclusivity: [SCOPE AND DURATION / NONE PROPOSED / STILL TO BE CONFIRMED]
- Payment: [TIMING AND PROCESS / STILL TO BE CONFIRMED]

Could you confirm whether that matches your quote and flag anything I’ve missed?

[CHOOSE ONE AND DELETE THE OTHER:
A. This is within the budget I’m authorized to discuss. I’ll route the confirmed scope for approval before we commit.
B. Our available budget is [AMOUNT AND CURRENCY]. Would [A SPECIFIC SMALLER SCOPE] be workable? No problem if that doesn’t fit your pricing.]

We haven’t agreed to additional rights or work through this summary. Once the scope is confirmed, we can document the terms and next steps.

Thanks,
[YOUR NAME]

Before sending: do not describe an unapproved quote as accepted. Replace unresolved terms with explicit questions rather than assuming they are included.
